CASE STUDY / AI VOICE
A dental voice assistant connected to appointment actions.
A dental clinic's assistant needed to do more than answer calls: it had to handle patient information and booking actions inside the practice workflow.

THE CHALLENGE
What needed attention.
A conversation can take several routes. New and returning patients, unavailable slots, missing details, cancellations and rescheduling each need clear logic before an appointment action is attempted.
MY CONTRIBUTION
What I built and tested.
- Developed the Sarah voice-assistant prompt around patient conversations and appointment intent.
- Connected Vapi to n8n and Dentally for patient-detail handling and appointment actions.
- Reviewed duplicate checks, date validation, slot conflicts and emergency routing.
- Troubleshot live-call behaviour and tested booking, cancellation and rescheduling scenarios.
WORKFLOW LOGIC
From a call to a practice action.
- Understand the request. The Sarah assistant gathers the details needed for the caller's intent and asks for missing information before attempting an appointment action.
- Check the practice system. Vapi passes the structured request to n8n, which connects with Dentally to look up patient and appointment context.
- Respond to the actual result. A booked slot, unavailable time, cancellation or reschedule needs a different response and confirmation path.
The work included testing patient-detail handling, duplicate checks, slot conflicts and cases that should be handed to the practice. The description avoids a claim about call volume or booking conversion.
THE PRACTICAL CHANGE
What this example shows.
The project connected the conversation layer to the practice system and created testable paths for normal and exception cases. This case study describes implementation work; it does not claim a published call-volume or booking result.
